International Women’s Day 2025

For International Women’s Day this year, the theme is ‘Accelerate Action.’ Can you tell us how Cashroom is supporting this? 

Yes, over the past year, we’ve seen an increase in the number of women in leadership roles, which is fantastic. This growth hasn’t been driven by a conscious decision based on gender but reflects the talent, dedication, and contributions of these individuals. At Cashroom, we are committed to creating an environment where everyone has the opportunity to thrive and progress based on their skills and achievements. Supporting professional development and providing opportunities for all is key to accelerating meaningful action.

How do you manage balancing work and personal life and what advice do you have for others striving to do the same?  

I must admit that achieving a perfect balance between work and personal life is a continuous challenge and journey. Establishing clear boundaries between my professional and personal time is key, even though working closely with my husband, Chris O’Day and other close family members often blurs those lines, I do try and keep boundaries where possible.

Utilizing our portal for task management has been incredibly helpful, and any effective time management tool can work wonders.

Learning to say no has been a valuable lesson for me, allowing me to prioritize and delegate tasks effectively. Sharing responsibilities with colleagues at work or family members and friends at home can ease the burden, and don’t be afraid to ask for help when needed. Remember, building a strong support team around you only enhances your capabilities – this applies to work and personal life.

Finally, I try to adjust my expectations, recognizing that there are moments when I perform exceptionally well at work and times when I may not. Sometimes I am on it with wellbeing and parenting and often I am not. Sometimes I fit in a mammoth amount of work and other weeks I have to push a deadline. Knowing that perfection in all areas of life isn’t always achievable, I’ve learned to prioritize various aspects of my life as required. While it can be tough, it’s ultimately okay.

Have you encountered any gender specific challenges or biases in your career, and how did you overcome them?    

I have. I do have a vivid memory of telling someone I was pregnant with my second child and their instant response being ‘I hope you have a boy this time and you don’t go off and do this again.’  I chose to have my first 2 children close together and I had dreaded the conversation in advance, it was horrible.

I have had clothes and outfits commented on as well as being spoken over and interrupted in conversations frequently. I have also had someone greeting me at an event (a stranger) by kissing me on the top of my head, like I was a little girl.

Honestly with all of these, I wish I had some witty and strong response, but I just took them and got on with my work – hindsight is a wonderful thing.

I have used ongoing professional training and development to enhance my skills and knowledge, so I stood out more in the workplace and I have continuously pursued leadership roles and projects that align with my goals. Despite challenges, I have utilized continuous professional development to excel in my field, actively pursuing leadership opportunities. Leading by example, I advocate for gender equality within my team, ensuring inclusivity and a comfortable environment for all.  I am very open with my team that I never want them to feel uncomfortable in any situation.

Don’t use phrases such as “I’m sure its me being stupid”, this is insulting your own intelligence, whereas “please could you clarify this further” removes the self blame and is more positive and empowering for you. Always remember, you have worked hard to get where you are and have just as much right as anyone else to be in these conversations.”

If you could give one piece of advice to yourself at the beginning of your career with the experience you have now, what would it be?    

Speak up – 95% of the time you were right – trust your gut!

And stay curious and commit to continuous learning without the mum guilt– your kids are now all through nursery and at school and they are fine! None of the children seem scarred for life from crying every day at nursery drop offs!

Believe in yourself. Have confidence in everything that you’re doing and know your strengths. Work towards your strengths and build a network of people around you that have strengths that compliment yours.

An Unnecessary Upheaval?

There’s an old curse- “May you live in interesting times”.

It has to be said that even ignoring the present geo-political issues, the threats presented by climate change, and the approaching asteroid, the legal sector in England and Wales is dealing with times that are far from dull.

You’d have to have lived in a cave for the last year or two to have missed the huge amount of discussion around law firms handling client money. As the SRA’s consultation period neared its conclusion Cashroom was invited to attend a round table discussion hosted by Lockton in their London offices.

The attendees were mainly law firms, many of which handled client money and had done so very securely and efficiently for many years.

It would be perhaps a more interesting blog if I was able to describe the heated debates. The vociferous disagreements and hotly contested arguments.

However, the room was unanimous on each issue.

There were of course nuances- some law firms are more focused on property transactions for example. They had a particular interest in the discussion around TPMAs and Digital Payment solutions. The consensus there was very much that firstly the number of issues was miniscule in comparison with the transaction numbers, and that the efficiency and client service levels would be massively detrimentally impacted by the changes being considered by the SRA.

Aside from the lack of availability of these solutions, the chaos which would be caused by even a significantly delayed imposition of such measures was felt to be unnecessary and potentially cataclysmic.

The insurers and brokers confirmed that they simply did not believe that the risk profile would fundamentally change, and the lawyers felt that the regulatory responsibility would have to stay with them. Neither element would appear to be likely to be improved, or the burden reduced, by the SRA’s considered options.

The room felt that TPMAs, with their ‘subscription charges’ and then charges per transaction, would create additional expense and would be passed onto the end consumer (the very person the changed measures purport to be assisting).

A fascinating meeting really came to a unanimous conclusion that with the use of appropriate processes and service providers (whether inhouse or outsourced) the existing model is not broken. Bad apples need to be rooted out of course, and it was felt that closer attention should be paid during SAR audits to potential red flags. Law firms have proven for many years that they are well capable of handling client money and should be allowed to continue to do so.

Culture, Tech and People- a crucial combination

It’s a strange time in the legal sector at the moment.

I don’t just mean the post-Christmas blues or the universal aim to get fit and lose weight following the consumption of too many mince pies.

More generally, law firms watch on as the tech world has an increasing influence on the way they could work. On the way they might communicate with their clients. On the way they deal with risk avoidance and regulatory compliance.

AI is, it seems, part of every conference agenda. Every article. Every water cooler conversation.

These issues and discussions aren’t limited to the law firms. Suppliers such as Cashroom have to consider all those things, both from the perspective of their law firm clients, as well as for their own internal business operations.

What does this have to do with culture, you may ask?

Well…we have over 120 staff at Cashroom, and while there is no doubt that our amazing tech team have created exciting developments to improve efficiency and security, it’s absolutely the case that our people are at the core of what we do. They are fundamental to the successful provision of client services- tech enabled, absolutely, but without our amazing team of people we wouldn’t be able to operate.

We have worked remotely from each other, since 2020. We still have offices and some people choose to go in to work. But we don’t impose it- our policy is to use our tech to enable people to work where they want. Securely and efficiently, and as part of their team, but in a location that works for them.

We want to enable our people to maximise their career progression so everyone has a Personal Development Plan. Our cashiers are trained through- either as college leavers learning from scratch in our Cashroom Academy, or if already experienced when they join us. We encourage all of them to obtain formal qualifications via our partnership with the ILFM.

We also have people who start life with us as cashiers, but progress into other areas of the business- marketing perhaps. Or Management Accounts. We want our people to be fulfilled by their time at Cashroom.

So a final tip for firms as they seek to understand whether their culture works for everyone. Ask your staff! We carry out monthly ENPS surveys. We want our staff to have a voice. We sometimes hear things we don’t like to hear, but that’s how we can improve.

Culture underpins everything- get it right and any tech advances will be simply adding to a great organisation.

Starting a Law Firm with Plans to Scale Quickly

NetworkingAF: A refreshing take on legal sector events

There are some ideas that are so simple that you wonder how on earth it hasn’t previously been done.

I’ve been networking in the legal sector for around 30 year and it’s fair to say that many events, conferences and gatherings have been very much based around beer and wine. That’s not to say that everyone is out to get drunk, but it’s certainly been a culture where the booze has flowed alongside the conversation.

Following one of the many events late last year, Victoria Moffatt reached out to our networking group Martyn Best, Tracey Longbottom and Tom Bailey suggesting a different type of gathering in January. It would be at lunchtime and it would be specifically Alcohol Free, not just in relation to what was laid on for attendees, but the venue itself would be completely alcohol free so that people with particular religious beliefs would also be able to attend.

It may be said that this is not revolutionary thinking- lots of people do Dry January for example. However this concept was taking it to another level of total inclusion.

There was real interest and excitement for the event and on 30th January a group of around 20 of us gathered at Hinterland in Manchester for what proved to be a really lively and fun networking event. Lots of laughs. Lots of engagement and interesting conversation. All while drinking a variety of lovely non-alcoholic drinks. (The vegan canapes were also absolutely delicious!).

It was such a success that the group is already talking about doing similar events during the year in other locations, and we are very much hoping that these events will grow in popularity. Returning to your desk for meetings feeling refreshed and enlivened is such a good feeling- I can heartily recommend it and hope to see lots more people at these Networking AF gatherings in the future.

What’s the red Ferrari in your legal business?

Guest Blogger: Charlie Lawson Unnatural Success

It’s a truism of networking, but the more specific you are about who you want to speak to, the more likely you will get referrals to them.

This sounds counterintuitive. You might think that ignoring a whole swathe of potential clients to focus on one specific target is ridiculous: you wouldn’t be the first. Go to any networking event, and listen to what legal folk often say when trying to get referrals:

  • “I help businesses with all their legal needs, so a good referral for me is any business owner.”
  • “I specialise in tax law, so anyone that pays tax is a great client for me.”
  • “I’m in conveyancing, so a good referral for me is anyone with a property.”

In all three of these examples, the lawyer will make it harder for their network to refer them. Who do you know that owns a business, pays tax, or has a property? Lots of people.

But does this make it easier to refer them? Unfortunately, not. Using the words anybody, everybody, somebody tends to lead to nobody. Let me give you an example, by using an example from outside the legal profession.

I’d heard John say, “A good referral for me is anyone with a car,” many times. He runs a car cleaning business – but not your average car cleaning business. He focuses on detailing high-end cars: Ferraris, Rolls-Royces, and so on. Owners of cars like these want them kept in pristine condition – car cleaning at a whole new level.

John ran an okay business, but he wasn’t getting referrals. The issue was he was asking for anyone with a car. However, because he wanted high-end cars, his prices reflected this. This meant that while he could cater to customers with a standard car, people like this didn’t want or need high-end service, so business was slow.

He thought he was making it easier to pass him a referral because he was including anyone.

I asked John to tell me about a really good customer. He’d recently cleaned a red Ferrari – so I suggested the next time he went networking, he shouldn’t ask for anyone with a car: ask to be referred to a red Ferrari owner. He looked unsure, but I encouraged him to use those exact words.

Guess what? Someone in his network had a friend with a red Ferrari. An introduction was made, and John had a new client.

The story doesn’t end there. It turned out that John’s new client was in the Ferrari Owners Club of Scotland – and referred John to other members. Now, he was cleaning and detailing lots of Ferraris. Owners of Ferraris also have other high-end cars – so he got more Lamborghinis, McLarens, and so on.

All of that came from a change of language. He thought he was trying to be helpful to his network by asking for “anyone with a car” – but he wasn’t. He had good relationships. This meant people wanted to help him – but he wasn’t giving them the tools to do so.

This same principle applies to your legal practice. It’s tempting to cast a wide net when describing your ideal client, but this makes it harder for your network to help you.

For example:

  • If a good referral for you is any business owner,” say, “I’m looking to meet tech startups that need support drafting employment agreements for new hires.”
  • If you’re in family law, you might say, “I’d love to meet parents that have decided to split up.”
  • Instead of saying, “I deal with property law,” say, “I’d like introductions to property developers acquiring land for commercial projects.”

By being specific, you make it easier for your network to connect you with the exact people you want to meet. And just like John’s success with the Ferrari Owners Club, a single well-targeted introduction could unlock a niche or community full of ideal clients for your practice.

What’s the red Ferrari in your legal business? Take a moment to think about your ideal client. The next time you network, describe them as specifically as you can. Be bold. You’ll be surprised how quickly the right introductions come your way.

Risk, risk, everywhere…

Has there ever been an era where the practice of law was more risky than right now? So many things must be keeping lawyers up at night, and the even trickier bit is that so many of the risks are interlinked.

Think of it this way- a firm has a costly team of management, fee earners and support staff. One of the most obvious risks is “can we win sufficient work to pay everyone and make a profit?”

But leading on from that- is the work we win good quality? Is there a risk that we are in a sector that has ever decreasing margin? Or is it a sector where a huge amount of very high quality work can be done, but there may be a long tail before billing can happen. Cashflow risks right there!

Is the work of a type that is under threat from technological solutions? Or even just capable of being made more efficient by the introduction of technology which you don’t have but your competitor down the road does?

Even if you have great work for your fee earners to do, those same people are highly prized assets and in the days of hybrid working models they can be constantly targeted by competitors with better deals or working arrangements.

Inspired by the recent webinar “Current AI and Automation in Law Firms” from Law Firm Ambition, Cashroom noted the key changes discussed and the attitudes toward AI, its different uses within legal practices, and what firms hope to achieve with AI technology. 

The rise of artificial intelligence (AI) and automation is reshaping law firms, driving change across everything from document management and contract review to client onboarding and compliance. With tools like ChatGPT and Microsoft’s Co-Pilot, firms are finding new ways to streamline workflows, improve efficiency, and deliver services that meet modern client expectations. Yet, for many firms, navigating AI adoption is a balancing act – rushing in too quickly can risk security breaches or misalignment, while being too late risks missing out on competitive advantages. So, how are law firms using AI and why is planning crucial for success? 

A New Era of AI and Automation in Law 

AI’s role in the legal industry has evolved dramatically over the last decade. Traditional automation focused on predictable tasks, like organising client files or tracking billable hours. However, today’s AI systems offer a deeper level of insight and creativity. Unlike basic software, AI can adapt to new scenarios, predict outcomes, and assist with complex research. Law firms are now using AI in a myriad of ways, from generating legal drafts and reviewing contracts to assisting in marketing and providing financial insights. The transition has been especially notable from 2023 to 2024, as more firms are moving from cautious testing to more robust implementations. 

Caution and Change: Law Firms Attitudes Toward AI 

Law firms are naturally cautious adopters of AI, primarily due to data security and compliance risks. Generative AI tools like ChatGPT are powerful but pose potential issues when handling sensitive client data. Many firms, especially larger ones, have initiated trials of AI tools, often limiting them to non-sensitive tasks like drafting or internal document management. Microsoft’s significant investment in AI, particularly with Co-Pilot, has also encouraged law firms to adopt AI carefully, as this tool helps prioritise and manage workloads, allowing legal professionals to focus on high-value work. 

A poll conducted during Law Firm Ambitions webinar on Current AI and Automation in Law Firms reflected these mixed attitudes. Around 44% of respondents reported trying AI at work, while 17% have yet to engage with it at all. AI adoption is typically higher in larger firms, which can dedicate more resources to secure deployment and robust data management. On the other hand, smaller law firms can find AI easier to implement across the organisation, often due to fewer constraints across the business and simpler workflows. 

The Many Uses of AI in Legal Workflows 

AI is enhancing legal workflows by supporting various tasks, each aimed at improving efficiency and reducing costs. Some of the most common applications of AI in law firms include: 

Document Management and Drafting: Document management systems like iManage and NetDocuments, both Microsoft partners, have integrated AI capabilities to assist with drafting, research, and discovery. These systems allow law firms to manage documents more efficiently by automating organisation and retrieval. 

Timekeeping and Analytics: Tools like iTimeKeep now offer automated time tracking and analytics, recognising when lawyers are working on certain documents or emails, which supports accurate billing. 

Contract Review and Analysis: AI tools from providers like PocketLaw and Thomson Reuters are increasingly used to review contracts, streamline analysis, and ensure compliance with legal standards. These tools reduce the time lawyers spend on repetitive contract checks and improve accuracy. 

Risk Management and Compliance: For many law firms, managing risk and ensuring compliance are top priorities. Tools like Intapp focus on compliance, helping firms manage sensitive data securely and avoid costly breaches. Firms are also implementing AI to flag compliance issues in real time and perform file audits. 

Client Insights and Financial Predictions: AI-powered tools such as ShareDo offer predictive analytics on pricing, helping firms estimate when a case might settle or what pricing would be most competitive. Data Challenges and the “Data Gap” 

A key challenge for AI in law is the “data gap” – the discrepancy between AI’s potential and the quality of data it relies on. AI systems perform best with high-quality, centralised, and well-organised data, so many law firms are focusing on tagging and consolidating data to ensure accuracy. Poor data management can lead to incorrect insights and missed opportunities, making data preparation an essential first step for any firm planning to implement AI. 

Managing Security Concerns with AI 

Security and data protection are central concerns for law firms, which handle sensitive client information. Policies for data tagging, access permissions, and “need-to-know” restrictions are being developed to ensure only authorised personnel can view specific data. Microsoft’s Co-Pilot, for example, offers features that restrict access to certain files, and Practice Management Systems like Actionstep, LEAP and Clio are embedding security protocols to prevent unauthorised data access. AI’s ability to “learn” from interactions with documents raises the stakes for security, and firms are adopting best practices to minimise risks of oversharing or data breaches. 

AI for Marketing and Client Engagement 

AI has also opened new doors in marketing and sales, where it assists with content creation, data analysis, and personalised client outreach. AI systems now allow firms to produce customised email templates, write targeted content, and analyse client data to understand service needs. Sales-oriented applications of AI include crafting tailored outreach videos, automating content creation for websites, and generating insightful data summaries to inform client relations. Marketing teams can also use AI for predictive analytics to better understand their audience and forecast future trends.  

Ben Trott, the founder of Marketing Lawyers looks at the transformative potential of AI in law firm marketing, exploring how AI can revolutionise the creation of marketing content, uncover valuable marketing insights and automate data generation. Ben highlights here the tools and processes that can drive efficiency and innovation, ultimately reshaping how law firms approach their operations and marketing strategies. 

AI Adoption and Value-Based Pricing 

AI is nudging law firms towards a value-based pricing model rather than traditional hourly billing. As AI reduces the time required for routine tasks, firms can offer clients competitive pricing aligned with the value delivered. This approach reflects a broader shift in the industry where efficiency, rather than pure hours billed, is central to pricing. The adoption of value-based pricing could help firms cover the cost of AI investments while providing cost-effective services to clients. 

The Future: What Law Firms Want AI to Do 

Polls indicate that law firms are keen to see AI perform tasks that enhance compliance, auditing, and client insights. When Law Firm Ambition asked what firms would like AI to handle, 76% of respondents indicated compliance alerting and file audits, 66% wanted drafting and summarising documents, and 65% sought client matter and financial insights. As AI technology advances, it will likely expand its capabilities across these areas, becoming an indispensable tool for modern law practice. 

Preparing for an AI-Driven Future 

To benefit from AI, law firms must have a solid foundation in data management and security. Planning for AI integration, assessing vendors, and implementing centralised data storage will ensure firms can harness AI’s potential without undue risk. Firms that adopt AI strategically, secure their data, and structure their processes around AI’s strengths will be better positioned to compete and deliver value-driven services in the years to come. 

The use of AI in law is not just a trend; it represents a fundamental shift in how legal services are delivered. By embracing AI cautiously and strategically, law firms can navigate its challenges and capitalise on its benefits, staying competitive in an increasingly AI-driven industry.
